Procedures for
cataloging and digitizing the Mitchell Papers photograph collection

These pages contain procedures for digitizing and recording information about the photographs. Instructions were tailored specifically to the types of photos found in this large collection of political papers. Details of these procedures apply to software and directory configurations on the Mitchell project workstations.

Photographs were maintained by Senator Mitchell's staff. Negatives were boxed; prints, contact sheets and documentation were stored in binders arranged by year.

Objectives of photo project:

  • To provide access to the majority of photos in the collection
  • To catalog the photos as completely and quickly as possible
  • To provide digitized images without using excessive disk space
  • To combine the digitized images with the catalog record and provide access to both on the web.

Guidelines for the photo project:

  • Resources devoted to the photo collection are consistent with the value of the material.

  • These photos document Senate activities and were never intended to be objects for aesthetic appreciation; therefore, these photos are cataloged as a reference tool.

  • Digitize the photos to provide access to the collection over the Internet. Do not digitize for preservation. Therefore scan at low resolution to allow images to load quickly.

  • Controlled vocabulary allows accurate sorting and searching.
