Workflow for Cataloging Photographs


Workflow is the series of sequential steps which complete project tasks. It is necessary to clearly define and understand these steps for efficient coordination of the entire project.

Cataloging photographs

Step 1: Selection

Select 8 x 10 photos to be cataloged first (excluding constituent photos). Constituent photos, smaller sized photos, contact sheets, and negatives will follow in that order.

Step 2: Cataloging

Cataloging is done on the Minaret program in the Mitchell Photograph database. The data entry form is called "Basic." Follow the "Photo Cataloging Instructions" to fill in the fields.

Remember: EACH photo requires a record on the database. Use the Record, Repeat (F9, R, R) function to repeat information for multiple prints of a single image.

Step 3: Scanning

  1. Open Paint Shop Pro. Go to "File", then "Acquire". Paint Shop Pro will launch the scanning software, acquire the image and then allow you to manipulate it (resize, rotate, or otherwise format).

    Make sure the scanning software is set to black and white photo or millions of colors as appropriate.

  2. PREVIEW, then adjust the selection box to fit the scanned picture. Scale the image to 300 pixels wide (4 inches).

  3. FINAL scan and the image will appear in Paint Shop Pro.

  4. Save as a .jpg file to the photograph directory using the catalog number, minus the "M202", as the file name. For example:

    t:\mitchell\mirror\photos\cat\pics\p34.jpg

Step 4: Export Records to HTML files

Once the scanning and cataloging are finished, use the Minaret form "htmlphoto" to create html files of the cataloging information:

Go to the record you want to export
Use the macro Alt-E to begin the export process
At the prompt: Name of file: t:\mitchell\mirror\photos\cat\ , type the file name, which is the catalog number. Add the extension .htm. For example: t:\mitchell\mirror\photos\cat\34.htm

Do not hit the enter key after you type in the file name.

Now use the macro Alt-F complete the export of the file. Go to the next record to export and begin the process again.

Step 5: Move Files to the Server

Only Project supervisor has permission to move files to the server
Use FTP session profile for WWW.
Select appropriate html files and send to the photos/cat directory on the server.
Select appropriate .jpg files and send to the photos/cat/pics directory on the server.
